1. Who we are
DURA Services is the data controller for the information that reaches us through this website. We handle moving, house clearance and transport in the north of the Netherlands. For questions about this policy or about your data:
2. In short
Two parts of this site run on artificial intelligence: the price calculator and the chat. Both send data to Anthropic, a company in the United States. For the calculator that means your full address, details about the property, the notes you type yourself and any photos you attach. For the chat it means everything you type into the window.
All of it is set out below, per part: what data, what for, who receives it, which country, on what legal basis and for how long. The rest is more ordinary. Your request goes into our own customer system, we only measure how the site is used if you agree to it, and we never sell data on.
3. What we process, part by part
3.1 Request and contact forms
- What data: name, email address, phone number, address or addresses, the service you pick, your preferred date and whatever you write in the message field.
- What for: answering your request, preparing a quote and scheduling the job.
- Who receives it: Netlify, the company that hosts this site and collects form submissions, and our own customer system at app.dura-services.nl.
- Which country: Netlify is a US company and stores the submission on its own infrastructure. Our customer system runs on Supabase in the European Union.
- Legal basis: performance of the contract, or steps you ask for yourself before there is a contract (article 6(1)(b) GDPR).
- How long: 12 months if it does not turn into a job. If it does, 7 years, because Dutch tax law requires it.
3.2 The price calculator
- What data: the postcode and house number of the address we collect from and the one we deliver to, the floor, whether there is a lift, what the stairs and parking are like, the number of rooms, an estimate of the volume and the number of boxes, and the extras you tick. For a house clearance also the floor area, the condition of the property and how full it is. Plus the notes you type yourself.
- What for: working out a price indication without us having to visit first.
- Who receives it, in this order:
- The PDOK Locatieserver, a Dutch government service, receives your postcode and house number and returns the street, town and coordinates. Country: the Netherlands.
- The coordinates of both addresses go to TomTom, a Dutch company, to work out the driving distance. If TomTom does not respond, the calculation falls back on a public routing server run by the OpenStreetMap project (router.project-osrm.org). We have no contract with that server and the country it sits in is not guaranteed.
- CBS StatLine supplies the current diesel price. No personal data goes there.
- Anthropic receives the complete calculation block: the full address including street, town and coordinates, all the property details and your notes. Country: United States.
- What does not go along: your name, email address and phone number are not sent to Anthropic. The calculator only asks for those once you actually submit the indication.
- Legal basis: steps taken at your request before there is a contract (article 6(1)(b) GDPR).
- How long with us: we do not keep the calculation itself. If you then submit the indication to have it turned into a quote, the periods under 3.1 apply.
- How long with Anthropic: Anthropic deletes API inputs and outputs within 30 days as standard. Longer only where the law requires it, or where there is a suspicion that the usage policy was breached; up to 2 years in that case. See also point 5.
3.3 Photos in the calculator
- What data: up to ten photos you select yourself, including anything that happens to be in the frame.
- What for: photos make the estimate considerably sharper. For a move the model looks at the volume, the stairs, the lift and any large or fragile items. For a house clearance it judges how full the property is and whether there is any soiling.
- Who receives it: Anthropic. Country: United States.
- What we keep: nothing. The photos pass through our server on their way to the model and are not stored with us. They do not end up in our customer system either.
- Legal basis: steps taken at your request before there is a contract. If a photo could reveal something about someone's health or home situation, the basis is your explicit consent, which you give by deliberately uploading the photo after reading the warning next to the upload field. Please also read point 4.
- How long with Anthropic: Anthropic deletes API inputs and outputs within 30 days as standard. Longer only where the law requires it, or where there is a suspicion that the usage policy was breached; up to 2 years in that case. See also point 5.
3.4 The chat on the site
- What data: what you type into the chat window, and the most recent messages from the same conversation so the chat can follow the thread.
- What for: answering questions about our services, the region and indicative prices straight away.
- Who receives it: Anthropic. Country: United States.
- What we keep: nothing on our server. The conversation lives only in your own browser window and is gone the moment you close the page.
- Legal basis: legitimate interest, namely being able to help visitors immediately (article 6(1)(f) GDPR).
- Worth knowing: do not type anything into it that you would not want a US service to hold. If it is about a request or about something personal, call or email us instead.
- How long with Anthropic: Anthropic deletes API inputs and outputs within 30 days as standard. Longer only where the law requires it, or where there is a suspicion that the usage policy was breached; up to 2 years in that case. See also point 5.
3.5 Job applications through Work at DURA
- What data: first name, surname, age, email address, phone number, driving licence, whether you are self-employed, what you are interested in, your motivation and how you found us.
- What for: judging whether we can work together, and getting in touch with you.
- Who receives it: Netlify collects the form and we read it there. This form does not go to our customer system.
- Which country: Netlify is a US company.
- Legal basis: steps taken at your request before there is a contract.
- How long: 4 weeks after the procedure ends. Longer only if you agree to it.
3.6 Website statistics and advertising
- What data: which pages you view, for how long, from what kind of device, from which broad region and which advert brought you in.
- What for: seeing what works on the site and which adverts lead to a request.
- Who receives it: Google, through Google Analytics, Google Ads and Google Tag Manager.
- Which country: Google Ireland Limited is the provider for Europe, but Google also processes data in the United States.
- Legal basis: your consent through the cookie banner (article 6(1)(a) GDPR). Without it, only a signal without cookies is sent, from which you cannot be identified.
- How long: Google keeps the data that distinguishes you for the retention period configured in our Google Analytics property; GA4 offers two settings for this, 2 or 14 months. After that only aggregated figures remain, from which you cannot be identified.
3.7 Your cookie choice
- What data: your choice per category, plus the technical details needed to demonstrate that you made that choice.
- What for: being able to show that we asked for and received consent, as the law requires.
- Who receives it: CookieYes, which places the functional cookie cookieyes-consent for this.
- Which country and how long: CookieYes Limited is established in the United Kingdom (3 Warren Yard, Wolverton Mill, Milton Keynes, registered under number 13074037) and may process data in the countries where the company operates. The cookie holding your choice stays until the expiry period we set in CookieYes runs out; after that we ask again. You can withdraw it at any time through the cookie settings at the bottom of the page.
- Legal basis: legal obligation to keep demonstrable records of consent.
4. Photos for a house clearance: please read this
Many clearances follow a death, or a situation at home that got out of hand. A photo of a property like that often shows more of someone's life than they would ever have chosen to share. So we want you to know exactly what happens: that photo goes to an AI model in the United States, which judges how full the property is and whether there is any soiling.
If you do upload a photo, please stick to this:
- no people in the frame;
- no post, paperwork, prescriptions or medication legible in the frame;
- no photos of the person who died, or of personal documents.
Are you not the resident yourself, for instance a family member, a landlord or a housing association? Then you are uploading data about someone else. Only do that if you are entitled to.
Not sure? Just call us. We can give an indication without photos, and we can always come and look.
5. Transfer to the United States
Anthropic, the company behind the AI model in the calculator and the chat, is based in the United States and processes the data there. That is a country outside the European Economic Area. The GDPR sets additional requirements for such a transfer.
Those requirements are covered through Anthropic's Commercial Terms of Service. The data processing agreement is automatically incorporated into those terms, together with the European Commission's Standard Contractual Clauses (SCCs) for transfers outside the EEA. Anthropic acts as a processor and only processes the data to deliver the service. Data from commercial use is not used to train models, and inputs and outputs are deleted within 30 days as standard.
Would you rather nothing of yours went to the United States? Then do not use the calculator or the chat, and call or email us instead. You get the same price, just not within a minute.
6. The parties involved
We never sell your data. We only share it with parties needed to deliver the service:
- Netlify, hosting and form submissions. United States.
- Our own customer system at app.dura-services.nl, running on Supabase. European Union.
- Anthropic, the AI model behind the calculator and the chat. United States.
- PDOK Locatieserver, address to coordinates. The Netherlands, a government service.
- TomTom, the driving distance between two addresses. The Netherlands.
- OSRM, a public routing server run by the OpenStreetMap project, used only as a fallback when TomTom does not respond. Country not guaranteed.
- CBS StatLine, the diesel price. The Netherlands, no personal data.
- Google, Analytics, Ads and Tag Manager, only after your consent. Ireland and the United States.
- CookieYes, recording your cookie choice.
- Tradespeople or self-employed contractors carrying out a job through DURA, as far as they need the data to do the work. The Netherlands.
Where applicable, processing agreements are in place with these parties, except where this policy explicitly says otherwise.
7. Retention periods at a glance
- Request that does not become a job: 12 months.
- Completed job: 7 years, because Dutch tax law requires it.
- Job application: 4 weeks after the procedure ends, longer only with your consent.
- Photos from the calculator: we do not keep them.
- Chat conversations: we do not keep them on our server.
- With Anthropic: 30 days as standard. With Google: the retention period set in our Analytics property. With CookieYes: until the expiry period set for your cookie choice.
8. Cookies
Without your consent we place no cookies for statistics or advertising. Google's measurement code is on every page, but it follows your choice: as long as you have not accepted, nothing is stored on your device and only an anonymous signal goes to Google, from which you cannot be identified.
If you click Accept, Google Analytics and Google Ads do place cookies. That lets us see how many people visit the site, which pages they read and whether a request came from an advert. If you decline, it stays with that anonymous signal.
To ask for and record your consent we use CookieYes. It places its own functional cookie (cookieyes-consent) that only remembers your choice. You can review or change your choice at any time through cookie settings or the small button at the bottom left of the page.
9. Your rights
You have the right to access, correct or delete your data, and you can object to processing or have it restricted. You can also withdraw consent at any time. Send your request to info@duraservices.nl. We respond within 4 weeks.
If you would rather avoid the calculator and the chat altogether, you do not need to request anything. Just call or email us, and nothing reaches an AI service.
Unhappy with how we handle your data? You can lodge a complaint with the Dutch Data Protection Authority through autoriteitpersoonsgegevens.nl.
10. Security
We take appropriate technical and organisational measures to protect your data against loss and unauthorised access. The whole site runs over a secure (HTTPS) connection. The calculator and the chat are locked down so that only our own website can call them.
11. Changes
We may adjust this privacy policy from time to time. The current version is always on this page, with the date of the last change at the top.
